Budgets, income and goals

The Money Management group in the menu holds three planning tools: Budget limits what you spend per category, Income tracks what you expect to earn versus what actually arrives, and Savings goals set money aside inside your accounts.

This section explains how each one works and how they feed the Dashboard and the retirement planner.

The Budget screen

Open the side menu and tap Budget under Money Management. The screen is a hub with a switcher at the top:

  • By Date shows how each budgeted category is doing in the selected period.
  • Historical shows your annual expense values year over year, which the retirement planner uses as its baseline. Tap + (Add Expense Category) in the top bar to add a category to it.

In By Date, the period bar works like the one in Reports: pick week, month, quarter, year, all time or a custom range, and step back and forth with ‹ and ›. Budgeted categories are listed first, sorted by how much of the budget is used. Below them, the No Budget section lists active categories without a budget — tap + next to one and choose Set Budget.

Each budgeted row shows:

  • The category icon and name, plus a bell icon when an alert is set (it turns orange once the threshold is reached).
  • X of Y spent, a progress bar and the percentage used.
  • X left while you are under budget, or X over once you pass it.
  • Includes X rolled over when unused budget carried in from the previous month.

Progress bars are green below 80%, orange from 80% and red at 100% or more. If you have no budgets yet, the screen shows No Budgets with a prompt to set one on an expense category.

Setting a budget on a category

  1. 1On the Budget screen, tap a budgeted category row, or tap + next to a category under No Budget and choose Set Budget.
  2. 2Under Budget, choose Weekly, Monthly or Yearly.
  3. 3Enter the Budget Amount.
  4. 4Check the Budget Currency (it defaults to your display currency) and change it if needed.
  5. 5Tap Save. On Android the editor is full-screen with an X to close; on iPhone it is a sheet with Cancel and Save.
Every
Weekly budgets only: the weekday on which the budget resets.
Budget Amount
How much you plan to spend in the category per week, month or year.
Budget Currency
The currency the budget is stored in. Spending in other currencies is converted into it.
Carry Over Unused Budget
Monthly budgets only. Whatever you did not spend carries into the next month, but the total available never exceeds the Rollover Limit.
Rollover Limit
The cap for the carried-over total. It defaults to twice the budget and must be greater than the monthly budget. Switching to Weekly or Yearly clears the rollover.
Alert When Spending Passes
Sends a notification when spending in the category passes a percentage of the budget. The default is 80%; adjust it from 5% to 200% in 5% steps. See Budget alerts.
Hint

The same Budget section appears in the category form (Categories → New Category or Edit Category), so you can set a budget while creating a category.

A budget is stored for its own cadence and pro-rated to the period you are viewing. For example, a monthly budget counts once for a month, three times for a quarter, twelve times for a year and about 12/52 of the monthly amount for a week.

Spending in a subcategory rolls up to the nearest parent category that has its own budget. A subcategory with its own budget is tracked separately.

Only real income and expense transactions count toward a budget — transfers and balance adjustments are excluded, and archived categories are skipped. Expenses add to the total, income in the same category subtracts from it, and split transactions count per slice.

Budget alerts

When Alert When Spending Passes is on for a category, Guaca notifies you as soon as spending reaches the threshold within that category's own period (week, month or year). You get one notification per category, per threshold, per period.

  • Budget threshold reached — the threshold is below 100%.
  • Budget exceeded — the threshold is 100% or more.

The message names the category, the percentage, the period and the amounts, for example Groceries is at 85% of its monthly budget — 425 of 500.

To turn all budget alerts on or off, go to Settings → Notifications → Budget threshold alerts. On Android they arrive in the Budgets notification channel. The bell icon on a budget row only shows that an alert is set and whether it has fired; the alert history is view-only.

Hint

The Budgets card on the Dashboard shows up to five category bars for this month, so you can check your budgets without opening the Budget screen. See Reports for the wider spending views.

Income streams

Open the menu and choose Money Management → Income. An income stream is a source you expect to be paid from — a Salary, Dividend, Interest, Crypto Yield or Other. It holds what you expect per year and what you actually receive, feeding projections and the retirement planner.

The top cards sum up this year's Taxable Receipts and Tracked Receipts (in Colombia also Declared to DIAN and Pending Declaration). Each row shows the year-to-date total, X / yr expected and a Passive badge.

  1. 1Tap + (Add Income Stream) and answer What kind of income is it?.
  2. 2Name the stream and, optionally, enter the Client who pays you.
  3. 3Under What does it pay?, enter the amount as Yearly or Monthly and pick the currency — a rough estimate is fine.
  4. 4Under Log income automatically?, link a category so its income transactions become payments, or tap Not now.

Open a stream and tap the pencil to reach Edit Income Stream:

Passive Income
Counts the stream toward Passive YTD in the dashboard's Freedom progress card.
Taxable
Marks the stream as taxable income.
Expected Annual Income / Currency
The yearly estimate behind projections; active Salary streams feed the retirement planner.
Linked Category
Income in this category is logged as payments automatically.
Important

Delete Income Stream also removes every payment logged under it.

Logging income payments

Open a stream to see its period bar, the Received This Year card and the payments grouped by month. There are three ways to log a payment.

1. From the stream. Tap + (Add Payment, or Log Payment when the list is empty) and fill in New Payment:

Cash | Stock Vest
Cash takes an amount and currency; a stock vest takes Symbol, Quantity and Price per Share.
Received / Description / Taxable
The date the money arrived, an optional note, and whether the payment is taxable.
FX Rate (USD/<ccy>)
Leave it at 0 to use the current rate. In Colombia you can also record Declared to DIAN (COP).
Deposit to Account / Link Transaction
Also record an income transaction in an account (category required), or attach the payment to a deposit already in your ledger.

2. From the ledger. If the deposit is already a transaction, log it from there (or use the Income stream picker in the transaction form); linked rows show Logged as Income Payment.

  1. 1Touch and hold the transaction.
  2. 2Choose Log as Income Payment.

3. Automatically. In the stream detail, Automatic logging → Add automatic source… offers a Payee rule, Link category or Recurring transaction; matching transactions are logged with no extra taps.

Savings goals

Open the menu and choose Money Management → Savings goals (Goals on iPhone). A goal earmarks part of the money you already have — a trip, an emergency fund — and tracks whether you're saving fast enough to reach it on time.

Important

Goals are a virtual allocation layer over your bank and cash accounts. Creating or funding one creates no transactions and changes no balance or net worth; it only labels money that is already there.

  1. 1Tap + (Add goal on Android, New Goal on iPhone), then give the goal a name and an icon.
  2. 2Answer Do you have a specific date? with Yes, I know the date or No, a target month is enough, and pick it.
  3. 3Enter the amount and Goal currency, then under What happens after you use this money? choose The goal stays completed (one-time) or I want to refill it (replenishing).
  4. 4If you have already put money aside, answer Have you already started saving for this goal? with the From account and amount Already saved, then tap Create goal.

Guaca suggests a monthly contribution from the remaining amount and the deadline. Edit savings goal lets you change the name, Target amount, Goal currency, Deadline type, After spending from this goal and your Planned monthly contribution, shown next to Recommended: X.

Each goal carries a status chip: On track, Ahead by X, Behind by X, Overdue, Shortfall or Allocation needs attention. Available at the top is the money in active bank and cash accounts not yet assigned to any goal.

Funding a goal and spending from it

Funding a goal means assigning part of an account's balance to it. Open the goal and tap Allocate money (Allocate or Release Money on iPhone).

  1. 1Under Choose an account, pick an active bank or cash account; you'll see how much is unallocated there and how much is already allocated to this goal.
  2. 2Enter the Amount and choose Allocate to add it to the goal or Release to free it again.
  3. 3Check the Review virtual allocation preview and tap Confirm virtual allocation.

Bank and cash account screens then show Assigned: X · Unassigned: Y.

To spend, record the expense as usual and open the Savings goal section of the transaction form. Choose Pay with goal money and enter the Amount paid from goal; the form shows how much is available. A one-time goal keeps the spent amount as progress; a replenishing goal loses it, so you save it again.

The goal detail lists its Funding accounts, a Plan versus reality panel (Achieved toward plan, Expected by today, Variance) and an Allocation history.

  • Turn on Follow up on this goal for a monthly nudge when it still needs money to catch up with the plan; Remind me in 7 days and Pause this month adjust the timing.
  • Reaching the target shows Goal completed! with Repeat goal or Archive goal; archiving keeps the history and releases the allocations.
  • Show archived (N) reveals archived goals, where you can Restore goal or Delete goal permanently.
  • The dashboard's Plan your next goal card shows up to two active goals and flags any whose allocations exceed their backing.
